Gonzales is now home to one of Ascension Parish’s fastest-growing family-owned businesses. In 2003, Nathan Gautreau and his wife, Linda, were searching for an investment opportunity and purchased a building which proved to have the space, temperature control and plenty of real estate for potential future growth. Shortly afterward, they had the opportunity to check out a Baton Rouge company that specialized in document storage. Less than a year later, Nathan and Linda bought the already established business, Professional Archive Solutions, and moved it to Ascension Parish, which is a more central location between Baton Rouge, New Orleans and the facilities along the Mississippi.
What began as a small document management operation has evolved into a high-tech business, focused on delivering service and efficiency to all of Louisiana and neighboring states. With their sons, the Gautreaus have expanded their menu of services to include scanning and destruction of documents, along with document storage, retrieval of files, delivery to clients’ offices, pick-up and refiling. They invest a majority of their time providing cost- and time-efficient document management, retrieval and delivery for clients—most of whom are in the legal and medical fields.
A single legal case can fill several containers, which the client can label, and Professional Archive Solutions will pull and deliver whichever box is needed. For a small cost, they can deliver a box or file the same or the next day.
“We also can organize your boxes and files onsite should you prefer to keep your files at the location of your choice,” says Nathan Gautreau. “That way your employees can keep working in the office, instead of spending valuable time out in a hot warehouse looking for out-of-order boxes and files.”
As their practices expand, many professionals find an increasing amount of their office space unusable because it is filled with bulky boxes. Just because the files are onsite doesn’t mean they are easily accessible or filed in order.
“Some of our clients have had problems with documents that were pulled for use and then were never refiled properly—or were even lost. We will pick them up, bring them back and refile them in their proper box and location, ready for the next time they are needed.”
For a low monthly fee, the company barcodes each box or file and enters information about its contents into a computerized index, along with the location of that particular box or file, making it immediately accessible for future needs. A copy of this information is provided to customers, so they can fax or call in their request for delivery or pick-up.
“Many offices fax us a list of patients or clients who will be seen the next day or during the week,” Gautreau explains. “We pull those files requested, deliver them to their office the following morning, and pick up those used from the previous day and refile them, ready for whenever needed again, freeing the clinical staff from extensive time devoted to clerical activities.”
Alternatively, the company can also scan records to client’s hard drive, to ‘The Cloud’ with a secure off-site backup, or scan to a disc. Clients have instant access to their vital records at their very own office.
While others may offer similar professional services of national franchises, the Gautreau family specializes in the service you’d expect from a small town family business. “We strive to satisfy our customers’ needs and help them to succeed.
